Toast Entertainment provides multiple services, DJ, photography, photo booth, videography, and coordination for events, mostly weddings. We hire individuals with a passion for weddings as contractors to provide exceptional service to clients. As a Contractor you are paid per event. Events are offered to contractors to accept to work on a need to fill basis with peak seasons for events being in the fall and spring months.
We are constantly growing and currently handle hundreds of events a year in the Austin area while developing industry professionals along the way.

Requirements/Job Description
Before Wedding Day
- Unlimited phone & email communication with client and vendors 4 months prior to event
- Vendor Contract Review
- Initial Consult (Meeting 1) - No later than two months before event
- In-person meeting
- Explain coordination & planning process
- Cover expectations/answer client questions
- Provide vendor referrals
- Discuss necessary action items from vendor contracts
- Use Toast Coordination Question Form as a guide to:
- Collect any needed vendor info
- Create Decor List
- Create/Discuss Processional - Provide examples if needed
- Create/Review timeline - Provide examples if needed
- Discuss Venue Layout
- Discuss Coordinators List of Day of To Do’s
- Contact All Vendors (do not send to Toast DJ until 1 month prior) post meeting to confirm/add/change services on behalf of client
- Create and distribute Decor List, Processional, Timeline, and Coordinators Day of To Do’s to client
- Distribute Timeline to Toast Concierge Team and send to the following vendors: caterer, photographer, videographer
- Set reminder for 6 weeks before event to schedule venue walk through
- Venue Walk Through Tour (Meeting 2) - 4-6 weeks before event
- Discuss vendor arrival times
- Progress check timeline
- Discuss any additional items added to Coordinators Day of List of To Do’s
- Discuss any additional items added to decor list
- Create/Confirm Layout
- Trial run for any decor
- Cover any remaining event details:
- Parking:
- Rain Plan:
- Send Intro Email to DJ (Toast only)
- Set reminder for three weeks before the event to send client the timeline and layout to confirm. Timeline should be confirmed by client 2 weeks prior to event
- Contact all vendors 2 weeks prior to
- Reconfirm Services:
- Details of their services
- Arrival times
- Send finalized Timeline to Concierge Team
- Distribute finalized Wedding Day Timeline and Layout(if applicable) 2 weeks prior to all vendors
- Distribute the following finalized documents to client 2 weeks prior:
- Decor List
- Coordinator List of To Do’s
- Layout
- Processional
- Timeline
Wedding Day
- 8 Hours of Coverage on Wedding Day (12 Hours for Weekend Package)
- Manage assistant to help with set up or with any other tasks (Weekend Package Only)
- Execute Wedding Day Timeline
- Set out décor listed on Coordinator List of To Do’s
- Manage vendors per clients instructions and assist with any questions/problems that arise
- Manage vendor setup at the ceremony and reception sites
- Ensure all set up is correct as per clients request
- Oversee ushers & guest book attendants
- Bustle Clients Dress
- Manage Wedding Party for Processional and throughout event
- Properly line up processional & cue musicians
- Coordinate entertainment and all announcements/events during ceremony and reception
- Execute Grand Exit
- Ensure payment of vendor tips and balances
- Break down/pack table numbers/names, place cards, favors, toasting glass & serving set, décor for gift/sign in/memory/favor tables per clients instructions
Job Type: Contract
Pay: $22.00 - $25.00 per hour
