Job Summary
The Dental Office Manager plays a crucial role in ensuring the smooth operation of a dental clinic. This position is responsible for overseeing daily administrative functions, managing staff, and maintaining compliance with healthcare regulations. The ideal candidate will have a strong background in dental office management and possess excellent leadership skills to foster a positive work environment.
Duties:
- Managing patient scheduling and appointments
- Ensuring timely follow-ups and recalls
- Oversee day-to-day administrative and front office operations
- Maintaining patient records and ensuring HIPAA compliance
- Hiring and training new team members
- Coordinating with clinical staff to ensure efficient workflow
- Managing schedules, time-off requests, and performance evaluations
- Handling billing and coding for insurance claims
- Managing patient payments, collections, and accounts receivable
- Preparing financial reports and overseeing office budgets
- Addressing patient inquiries and concerns
- Ensuring a high-quality patient experience from check-in to check-out
- Resolving conflicts or complaints in a professional manner
- Ensuring the office adheres to OSHA, HIPAA, and state dental board regulations
- Updating policies and procedures as necessary
- Coordinating with external vendors for maintenance and supplies
- Managing dental office management software (Dentrix)
- Troubleshooting basic IT issues
- Ensuring backups and security protocols are followed
- Process bi-weekly payroll for all staff
- Maintain and update dental provider credentialing with all insurance carriers
- Pay vendor invoices and monitor practice financial obligations
Skills and Requirements:
- Minimum 2–3 years of dental office management experience required
- High school diploma required; associate’s or bachelor’s degree preferred
- Organizational and multitasking abilities
- Knowledge of dental terminology and insurance
- Financial and problem-solving skills
- Professionalism and discretion
- Knowledge of dental insurance billing and coding (PPO, HMO, Medicare, etc.)
- Proficiency in dental practice management software (Dentrix)
- Excellent communication, multitasking, and organizational skills
- Familiar with payroll processing and basic accounting/payables
- Proficient in financial management and understanding of billing processes
- Familiarity with OSHA standards and HIPAA and state board regulations to ensure compliance
- Excellent communication skills for effective interaction with patients, staff, and provider
- Ability to lead and motivate a team while fostering a collaborative work environment
- Strong organizational skills with attention to detail for managing multiple tasks efficiently
- Reliable and able to work independently
