Job Description
We are seeking a highly organized and proactive R&D Administrative Coordinator to provide high-level administrative support to the leadership of our R&D Engineering Department. This role requires exceptional communication, organizational, and problem-solving skills, as well as a deep understanding of technical and project-oriented environments. The ideal candidate will thrive in a fast-paced, global engineering setting and contribute to the success of cross-functional teams.
Primary Responsibilities
- Provide comprehensive administrative support to R&D Engineering leadership, including calendar management, travel coordination, meeting scheduling, and expense reporting.
- Coordinate and prepare materials for internal and external meetings, presentations, technical reviews, and workshops.
- Manage department communications, including drafting emails, memos, and announcements.
- Handle sensitive information with a high level of confidentiality and discretion.
- Maintain organization of department files, technical documents, and design data.
- Facilitate communication and collaboration across engineering teams.
- Support onboarding of new team members within the R&D department.
- Liaise with global counterparts to coordinate meetings across time zones and support global engineering initiatives.
- Proofread presentation materials, organization charts, reports, and letters
- Coordinate meeting schedules, maintain daily calendars, and schedule internal and external meetings
- Prepare confidential correspondence and maintain confidential files.
- Maintain files, order supplies and type correspondence and reports.
- Review incoming correspondence.
- Manage all aspects of office administration using independent thinking and judgment with sole discretion for office procedures
- Handle department purchases while using independent judgement for cost saving opportunities
Years of Experience
- Minimum 5 years of experience in an executive or administrative assistant role; experience supporting engineering or technical departments strongly preferred.
Degree Preferred
- Minimum of high school diploma required. Associate’s degree preferred.
Desired Competencies, Experience, & Qualifications
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Familiarity with technical project management tools or PLM systems is a plus.
- Strong organizational and multitasking abilities with keen attention to detail.
- Excellent written and verbal communication skills.
- Ability to handle multiple priorities in a fast-paced, dynamic environment.
- Professional demeanor with the ability to interact effectively with employees at all levels and across global teams.
Job Types: Full-time, Contract
Pay: $25.00 - $29.00 per hour
