This role provides high-level executive and administrative support to both the Chief Executive Officer (CEO) and Chief Strategy Operations Officer (CSOO), as well as key leaders across the organization. Primary responsibilities include managing complex calendars, coordinating meetings and travel, and handling confidential communications. The Executive Assistant plays a vital role in helping executive leadership stay focused, organized, and aligned with strategic priorities in a fast-paced, mission-driven environment.
Key Responsibilities
- Provide daily administrative support to the CEO and CSOO, including calendar management, scheduling, and correspondence handling
- Coordinate travel arrangements, logistics, and prepare materials for meetings and events
- Support Managing Directors across several departments (Life Sciences, Software, Hardware, Accelerators) with scheduling, document preparation, and communications
- Attend key meetings, take notes, and ensure distribution of meeting summaries and action items
- Serve as a liaison between executive leadership and internal/external stakeholders
- Track and manage project timelines, follow-ups, and deliverables to ensure deadlines are met
- Maintain a well-organized office environment and oversee coordination with vendors and service providers
- Draft, proofread, and manage executive-level communications
- Monitor and respond to communications on behalf of leadership, maintaining professionalism and confidentiality
Minimum Education & Experience Requirements
- Bachelor’s degree in Business Administration, Communications, or a related field required
- Master’s degree preferred
- Minimum of 5–10 years of experience supporting senior executives, preferably in a nonprofit, startup, or professional services environment
Special Requirements
- Must be able to handle confidential information with discretion and integrity
- Occasional attendance at offsite meetings or events may be required

- Excellent written and verbal communication skills
- High proficiency with Google Workspace, Microsoft Office Suite, Zoom, and project management tools

- Calm under pressure and comfortable managing shifting priorities
- Strong interpersonal skills, with the ability to influence without authority and maintain professional boundaries
- Attention to detail, problem-solving ability, and a proactive mindset
