Description: Reporting to the Vice President for Advancement, the Executive Assistant (EA) oversees the operations of the Advancement office, including workflow, calendaring, drafting and editing correspondence, managing the Vice President’s travel schedule, handling expense reports, and liaising with Advancement and Marketing/Communications team members to ensure the smooth operation of the Advancement office.
Minimum Qualifications: • Experience: Minimum of 5 years or commensurate experience in administrative work. • Education: A bachelor’s degree is required. • Communication Skills: Excellent written and verbal communication skills. • Leadership Skills: Advanced discernment and decision-making skills; ability to navigate interaction with constituents in a calm and helpful manner. • Computer Skills: Proficient knowledge of Microsoft Office applications and good internet search skills. • Level of Independence: Elevated level of ability to work independently and able to prioritize the work. • Physical Exertion Requirements: Light Work as defined by the Bureau of Labor Statistics. • Schedule Flexibility: Be able to work some evenings and weekends. • Driving History: Driving a university vehicle is not a requirement of this position, but an examination of driving history is required. • Procedures Commitment: The candidate must adhere to all King University policies as detailed for all employees in the Employee Handbook or specifically per any department, such as Admissions, Business Office, Financial Aid, etc. • Christian Commitment: The candidate must have and be able to articulate a personal faith in the Lordship of Jesus Christ and support the mission of King University.
Responsibilities: • Provide professional operational administrative support to the Vice President for Advancement and the Advancement Office. • Manages the Vice President’s calendar, producing a well-thought-out daily itinerary and on-going flow of work. • Send out recurring weekly and annual meeting invitations with appropriate detail. Facilitates all necessary correspondence related to the Vice President for Advancement’s schedule. • Manages all travel for the Vice President for Advancement and provides detailed itineraries, trip folders and maintains current files for all travel documents. • Assists in preparing for recurring meetings between the Vice President for Advancement, the Advancement and Marketing/Communications teams, and cabinet members. • Responsible for the purchasing of office supplies, managing office expenditure and budgets, and processing P-card statements and reimbursements each month. • Monitors the Vice President for Advancement’s Office email inbox daily and forwards relevant mail to the Vice President. • Supports the Vice President for Advancement’s work, including record keeping and donor correspondence. • Able to manage confidential and sensitive information ethically and wisely. • Works collaboratively with campus and community partners to ensure all activities associated with the Vice President for Advancement’s office are executed in an effective, efficient, and professional manner. • Exhibits a spirit of hospitality by serving as a warm and welcome presence for all who enter the Vice President for Advancement’s office.
