About the Role
The Executive Operations Assistant provides a blend of administrative, operational, and light personal support to the CEO and overall business operations. The role includes responsibilities related to calendar management, finance support, systems coordination, and day-to-day logistical and organizational needs. This position requires someone with strong attention to detail, a solutions-oriented mindset, and the ability to manage multiple workstreams efficiently.
This position is well-suited for an individual with experience in executive support or administrative operations who thrives in dynamic environments and brings a high level of reliability and discretion.
Key Responsibilities
Executive & Administrative Support
- Maintain calendar, coordinate meetings, and support email organization
- Coordinate travel logistics and submit expense reports
- Complete occasional personal errands or scheduling needs (e.g., auto service, appointments)
Finance & Compliance Administration
- Manage QuickBooks entries, categorize expenses, and support monthly reconciliation
- Assist with payroll processes and the tracking of 1099 contractors
- Complete certification forms and business applications in a timely and accurate manner
Operations & Systems Support
- Maintain organized systems and digital files in platforms such as SharePoint, Bill.com, and Gusto/TriNet
- Track contracts, vendor agreements, and other business documentation
- Support compliance tasks and documentation related to HR, benefits, and insurance
Additional Support Functions
- Participate in policy updates and light HR administrative work such as onboarding checklists
- Assist with internal operations projects and documentation updates
- Contribute to process improvement initiatives across business functions
What We’re Looking For
Ideal candidates may bring the following:
- 3–10 years of experience in executive support, office administration, HR, or finance
- Background in professional services, government, healthcare, or consulting environments
- Strong organizational skills with a proactive and adaptable approach to problem-solving
- Comfort working in cloud-based systems and willingness to learn new tools
- Ability to maintain confidentiality and prioritize competing needs effectively
- Based in the DMV area and available for occasional in-person meetings or tasks
Preferred Background: Candidates with federal government experience or those transitioning from structured environments into mission-driven, flexible roles are encouraged to apply.
