Job Summary
We are seeking a highly organized and proactive Executive Assistant/Office Manager to support our executive team and oversee daily office operations. The ideal candidate will possess exceptional organizational skills, strong project coordination abilities, and a customer-focused attitude. This role is pivotal in ensuring the smooth functioning of our office while providing high-level administrative support. Local position to DFW, but will mostly operate remote. Full-time position with long term business relationship and upside/management growth opportunities.
Duties
- Day-to-Day operations manager of a large insurance agency focused on senior market sales and advanced markets.
- Manage executive calendars, scheduling appointments, and coordinating meetings to optimize time management
- Coordinate projects from inception to completion, ensuring deadlines are met and deliverables are achieved.
- Assist in the preparation of reports & analysis.
- Maintain confidentiality of sensitive information while managing multiple priorities in a fast-paced environment.
- Business acumen in the insurance industry.
- Ability to improve systems and make the projects their own to improve efficiency of processes.
- Onboarding sales agents for both telesales and face-to-face
Qualifications
- Proven experience as an Executive Assistant or Office Manager with a strong understanding of administrative processes.
- Exceptional organizational skills with the ability to prioritize tasks effectively.
- Proficiency in computer literacy, including Microsoft Office Suite, Google Workspace, Go Highlevel (CRM's) and other relevant software applications.
- Experience with calendar management and project coordination is essential.
- Excellent communication skills, both verbal and written, complemented by a customer service-oriented mindset.
- Familiarity with DocuSign or similar electronic signature platforms.
- Comprehension of leads in the insurance industry and lead management for downline hierarchy.
- Canva & other similar software to create graphics for email blasts or training.

Bonuses are not included in the base pay of $28-32 an hour with a willingness to pay more for a highly skilled and talented individual and are performance based.
