About the Role
We are seeking an exceptional, high-capacity Executive Personal Assistant to work side-by-side with the founder of a premier luxury home building and interior design firm in Fort Lauderdale. This is not a standard assistant role. It’s an elite position for a confident, resourceful, and highly adaptable professional who thrives in a fast-moving, high-performance environment where no two days are alike.
You will play a pivotal role in managing the day-to-day operations, special projects, client relations, and high-level administrative and logistical tasks that keep a luxury design and construction business running seamlessly. From material sourcing and site coordination to client liaison and property staging, you will be the right hand to a creative entrepreneur shaping some of South Florida’s most exclusive, multi-million-dollar residences.
Key Responsibilities
Project & Material Coordination
- Source luxury finishes, fixtures, and custom materials from top-tier vendors and showrooms
- Coordinate deliveries, pickups, and installations to job sites
- Provide on-site support during construction and design phases
Office & Administrative Leadership
- Manage a high-volume email inbox, calls, scheduling, and follow-ups with precision
- Prepare proposals, presentations, and documentation for clients and vendors
- Maintain organized digital and physical files to ensure seamless workflow
Client, Vendor & Contractor Liaison
- Act as the professional point of contact between the owner, clients, subcontractors, and suppliers
- Follow up on timelines, deliveries, and commitments to keep all parties aligned
- Handle sensitive communications with discretion and professionalism
Luxury Property Preparation
- Oversee home staging, styling, and final presentation for open houses, walkthroughs, and photoshoots
- Coordinate furniture placement, décor adjustments, and last-minute aesthetic details
Operational & Personal Support
- Execute daily errands, returns, and special projects
- Anticipate needs and proactively solve problems before they arise
- Maintain the owner’s schedule and priorities to maximize productivity

- As many computer and software skills as possible with some examples being Proven experience as an Interior Designer or similar role.
- Proficiency in design software (e.g., AutoCAD, SketchUp) is preferred; familiarity with DocuSign is a plus.

Job Type: Full-time
Pay: $37,800.72 - $87,568.46 per year
Schedule:
- 8 hour shift
- Monday to Friday
