Oculoplastic & Orbital Consultants, a boutique oculoplastic surgery and aesthetics practice in Palm Beach Gardens, is seeking a poised and personable Front Desk Coordinator to join our team. This role is ideal for a candidate with medical front desk experience—preferably in aesthetics or plastic surgery—who enjoys creating exceptional patient experiences in a refined, fast-paced clinical environment.
About the Role
As the first point of contact, you will warmly welcome patients, manage check-ins, and coordinate the day’s schedule with efficiency and professionalism. You’ll be responsible for handling intake forms, verifying demographics, collecting payments, managing the patient schedule, and ensuring smooth communication between patients and the clinical team. A polished phone presence, strong attention to detail, and ability to multitask are essential in this role. This position will also cross-train with our checkout team to support smooth office operations and provide coverage as needed.
What We’re Looking For
We’re looking for someone who has:
- Previous medical experience working in an aesthetics, plastic surgery or cosmetic dermatlogy practice.
- Outstanding customer service and interpersonal skills with patients, business contacts & staff
- Friendly, outgoing and enthusiastic personality
- Familiar with the functions of a medical office including scheduling and basic medical terminology
- Highly organized and detail oriented to ensure that daily administrative tasks are completed accurately and timely
- Exceptional phone communication skills and pleasant voice to assess the needs of the patients with empathy, respect and professionalism
- Ability to prioritize tasks according to importance in a dynamic environment
- Strong experience with Microsoft Office; Word, Excel, Outlook and EMR software
- Impeccable judgment and effective problem-solving skills
- Ability to maintain confidentiality and thorough knowledge of HIPAA policies and procedures
- Strong ability to work independently, take initiative and adapt to changing situations
- Excellent attention to detail and accuracy
- Ability to operate multi-line telephone system and the various functions available for efficiency
