Position Summary
The Grants Database Coordinator is responsible for assisting with grants management, providing proactive and reactive prospect research on funding opportunities, maintaining the integrity and accuracy of the grants database, and providing administrative support to the Grants Department. The Grants Database Coordinator reports to the Director, Grant Initiatives and Development.
Core Responsibilities:
Grants
- Develop and maintain fund development calendar that includes deadlines for grants, sponsorships, reports, funding applications, etc.
- Attend committee meetings and prepare documentation (minutes, agendas, reports, and other forms of communication) for committee meetings.
- Provide administrative support duties to the Grants Department as needed.
- Implement the disaster recovery plan to archive data.
- Perform additional duties as assigned.
Database
- Maintain funder files, grant awards, and reporting in the grants management software/database, and conduct routine cleanup.
- Maintain database by entering new and updated records, ensuring the accuracy of records.
- Maintain a library of common proposal attachments and develop/maintain tools to answer commonly asked proposal questions.
- Generate reports, specific data requests, and other materials for internal reporting purposes.
- Maintain grants calendar in GrantHub and track deadlines.
- Coordinate staff training on GrantHub.
- Work with the Grants Director and the Grants Administrator to report on metrics.
- Perform additional duties as assigned.

Minimum Education / Experience / Knowledge and Special Skills
Associate’s degree in Business or a related field is preferred. Database management experience is required. At least 2 years of professional experience in development or related field in the non-profit or public sector, strong organizational and project management skills, level of accuracy and attention to detail, Knowledge of the local, regional, and national philanthropic communities a plus. Experience in grant writing is preferred but not required.
