Job Summary
Responsible for overseeing pre- and post-award grant administration activities within multiple departments at Prisma Health. Ensures compliance with institutional, sponsor, and federal regulations while supporting fiscal, budgetary, and account management processes. Serves as a key liaison between the department and the central research offices, ensuring seamless coordination without duplication of responsibilities. Provides guidance and oversight to ensure efficient and compliant grant administration.Essential Functions

Collaborates with faculty and research staff to develop grant proposals, including budget preparation, justifications, and required documentation. Reviews funding opportunity announcements (FOAs) and ensure proposals align with sponsor guidelines and institutional policies. Coordinates internal review and submission processes with the central Office of Sponsored Programs. Maintains a calendar of funding opportunities and submission deadlines.
Oversees the financial management of awarded grants, including budget monitoring, expense tracking, and financial reporting. Ensures compliance with sponsor terms and conditions, including effort reporting, allowable costs, and timely preparation of progress and financial reports. Work with principal investigators (PIs) to manage project timelines, re-budgeting, and no-cost extensions. Coordinate with finance and HR teams on grant-funded personnel appointments and payroll allocations.
Manages a portfolio of complex grant funded sponsored programs. Assists with grant-related financial transactions including, working closely with supporting offices to ensure compliance. Monitors expenditures to ensure they are allowable, allocable, and reasonable per sponsor and institutional guidelines. Maintains accurate and organized documentation for all grant-related financial activities. Assists with financial management of departmental research fund accounts.
Serves as the departmental expert on grant policies and procedures. Provides training and guidance to team members on grant-related matters. Monitors and audits grant accounts to ensure compliance and resolve discrepancies. Collaborates on proposal submissions, award negotiations, and with the central research offices on compliance matters, ensuring that departmental activities complement central administrative functions. Prepares for and supports internal and external audits.

Supervisory/Management Responsibilities
Job has direct and/or indirect supervision of team members that may include final budget authority, hire/termination authority, performance appraisal responsibility and disciplinary authority. Job will be considered a member of management staff at Prisma Health or affiliate and will have two or more direct reports.
Minimum Requirements
Education - Bachelor's degree in Accounting, Finance or Business-related field of study.
Experience - Five (5) years of pre/post award grant administration experience.

Ability to lead departmental research administration team all aspects of grants management.
Ability to communicate clearly with a variety of audiences to include clinicians and staff, sponsors, collaborators at other academic institutions, and departments. Uses oral, written, and interpersonal communication skills to be successful in position.
