We are looking for an Office Assistant to help with invoicing, small accounting tasks, answering & direct calls, some customer & vendor interaction, and help with the daily administrative operations of our company. The ideal candidate will be a hard-working professional able to undertake a variety of office support tasks and work diligently under pressure, while prioritizing customer service. This person will be comfortable working with a high degree of attention to detail while assisting with and independently performing a variety of daily tasks.
Office Program used: Microsoft Office- Word, Excel, Outlook.
The ability to scan and upload documents.
Responsibilities
- Performs clerical duties, including, but not limited to, answering calls and filing correspondence
- Responding to all customer inquiries in a polite and timely manner
- Interacts with clients, visitors, and vendors
- Photocopies, scans, and files appropriate documents (invoices, packing slips, pick tickets, and statements)
- Assists with unloading invoices and customer payments
- Run purchasing reports and create and issue purchase orders to vendors
- Creates, reviews, and edits Excel spreadsheets about contract sales
- Assists in setting up new customer and vendor accounts
- Conducts research and compiles data when solving issues with vendors and other branches
- Interacts with different departments to solve any issues with orders and freight
- Performs additional duties when required
