Operations Administrator (Office & Project Support)

About the Role
We’re hiring a proactive, detail-oriented Operations Administrator to oversee critical functions within our Dallas office. This full-time, on-site role combines office administration with direct support for ongoing projects and internal operations. You’ll be the go-to for vendor coordination, documentation, lease compliance, and internal scheduling—working closely with leadership and accounting to keep things on track.This isn’t just admin work—it’s operational backbone work. Key Responsibilities
- Maintain and organize office documents, including contracts, licenses, and correspondence
- Track lease and insurance compliance (COIs, renewals, requirements)
- Schedule and coordinate vendor visits, access requests, and team meetings
- Assist with project setup, reporting, and supporting documentation
- Prepare onboarding materials and recurring admin templates
- Monitor internal deadlines and ensure timely follow-up and completion
Required Qualifications
- Minimum 3 years of experience in office administration, ideally in real estate, construction, or legal support
- Strong proficiency in Microsoft Workspace, Excel, and digital filing systems
- Working knowledge of lease agreements and insurance certificates (COIs, GL policies, etc.)
- Proven ability to prioritize, multitask, and maintain accurate records in deadline-driven environments
- Experience collaborating with cross-functional teams including accounting and operations
- Strong written and verbal communication skills
- Familiarity with QuickBooks, CRM systems, or project management tools (e.g. Monday.com, Trello)
- Ability to maintain confidentiality and work with sensitive documentation
