Job Description
The Engineering Services Department is seeking a detail-oriented and customer-focused Part-time Office Assistant to join our Integrated Facility Services Division. This is a temporary, part-time position working 25 hours per week on a set schedule with non-flexible hours. The position does not qualify for city benefits, leave accrual, or holiday pay. The Office Assistant provides administrative support, including working in the city’s mailroom handling incoming and outgoing mail, assisting with dispatch and distribution for City departments, processing payments, maintaining records, and supporting utility payments, tracking and reporting.

Duties and Responsibilities
- Process payments, track utility expenses, and assist with financial recordkeeping
- Prepare, distribute, and process incoming and outgoing mail for City departments
- Conduct extensive research to support team projects, reports, and presentations
- Provide administrative support, including data entry, data analysis, document preparation, and maintaining organized files and records
- Answer and route phone calls, respond to inquiries, and provide courteous customer service
- Assist with scheduling meetings, coordinating calendars, and organizing logistics for team activities
- Compile data, prepare reports, create spreadsheets, and support presentations for internal and external use
- Order and maintain supplies and coordinate maintenance or service for office equipment
- Perform other administrative duties as assigned to support the needs of the division
- This position will be required to operate a City-owned vehicle in order to pick up mail from USPS as well as deliver and collect mail and packages between City facilities
Typical Qualifications
Education and Experience:
High school diploma or GED and at least one year of administrative or clerical experience, which includes responsibilities such as data entry, data analysis, utility payment processing, recordkeeping, and customer service. Experience working in a mailroom environment and preparing mail for dispatch.

An equivalent combination of education and experience sufficient to successfully perform the essential duties of the job such as those listed above, unless otherwise subject to any other requirements set forth in law or regulation.
Licensing and Certifications:
- Valid North Carolina Class C Driver’s license with a satisfactory driving record, or the ability to obtain within 60 days of hire
Additional Information
Knowledge, Skills, and Abilities:
- Knowledge of office procedures, recordkeeping, basic financial tracking, and mailroom operations
- Skill in Microsoft 365 applications (Word, Excel, Outlook, and Teams) for document preparation, reporting, and communication
- Skill in data entry and data analysis for reporting and utility tracking
- Ability to work independently while supporting a collaborative team environment
- Ability to prioritize and manage multiple tasks while maintaining accuracy and attention to detail
- Ability to maintain consistent attendance and adhere to a fixed schedule
