JOB SUMMARY:
To perform highly responsible data entry duties including maintaining and updating payroll information, preparing payroll checks and maintaining computer files; providing technical supervision to other operators; preparing tax information for employees and government agencies; and providing responsible staff assistance to the Human Resources Department.
DISTINGUISHING CHARACTERISTICS
This is the advanced journey level work in the data entry operator series. Incumbents in the class are assigned the most difficult and important data entry assignments and are assigned routine systems operation and maintenance responsibilities such as storage of application libraries and files. Employees in the class may provide technical supervision and assistance to Data Entry Operators. SUPERVISION RECEIVED AND EXERCISED
Receives directions from the Accounting Supervisor.
May exercise technical and functional supervision over Data Entry Operators.
EXAMPLES OF IMPORTANT RESPONSIBILITIES AND DUTIES: :- Essential and other important duties and responsibilities may include, but are not limited to, the following:
Essential Duties and Responsibilities:
Receive, verify, and enter regular and special payrolls to maintain production schedules; deduct accounts receivable as applicable; print payroll reports and checks; separate and sort checks as directed.
Balance all payroll deduction reports including credit unions, retirements, insurance, unions, child support and alimony; prepare payments and vouchers for automatic salary deduction.
Participate in a variety of activities involving travel between various city facilities and to other related external business and government agencies which may include delivering direct deposit checks.
Prepare employee and city tax deposit, record appropriations for transfer.
Enter various data into computer system; perform backup maintenance for computer files; purge and archive computer files, as necessary.
Order and maintain a variety of supplies including computer paper, printer ribbon and toner and related supplies.
Operate data entry equipment for both incoming data and data corrections.
Other Important Responsibilities and :Duties::
Provide clerical support to assist designated department staff in the completion of their duties and responsibilities.
Review data input and output, screen format coding, and verify the accuracy of entries.
Run and distribute routine reports, billings, and similar computer documents. Perform related duties as assigned.
QUALIFICATIONS:
Knowledge of:::
Data entry methods and equipment. Basic mathematical theory.
City and departmental policies and procedures.
Modern office procedures, methods and equipment including computers and associated equipment. Pertinent Federal and State laws and regulations. Record keeping and reporting procedures.
Ability to::
Assign, lead, and participate in the operation of computer data entry equipment. Perform data entry operations rapidly and accurately.
Operate a motor vehicle.
Discreetly manage confidential information including employee payroll information. Review and verify a variety of information.
Calculate simple mathematical equations.
Maintain effective audio-visual discrimination and perception needed for:
Establish and maintain cooperative working relationships with those contacted in the course of work.
