Procurement Design Assistant

Position Overview

The Procurement Design Coordinator plays a key role in supporting the design team by overseeing the sourcing, ordering, and tracking of materials, finishes, and furnishings for commercial projects. This position bridges the gap between creative design and the logistical execution of purchasing and delivery. Strong attention to detail, organization, communication, and a clear understanding of design specifications and construction timelines are essential. Must be able to work in a group setting.

Key Responsibilities

• Collaborate closely with the Lead Commercial Designer to understand material, finish, and furnishing needs for each project.
• Source products and materials that meet design specifications, budget, and project timelines.
• Obtain quotes, samples, and lead times from vendors and suppliers.
• Issue purchase orders and manage procurement documentation to ensure accuracy and compliance.
• Track orders, manage delivery schedules, and coordinate logistics to job sites or warehouses.
• Communicate regularly with clients, vendors, contractors, and internal teams regarding order status, delays, or changes.
• Assist with FF&E schedules and specification documentation.
• Maintain organized records of all orders, vendor contacts, samples, and pricing.
• Ensure substitutions or changes align with original design intent and are approved by the appropriate team members.
• Monitor budgets and flag discrepancies or overages.
• Support installation coordination and troubleshoot any procurement-related issues on site.
• Walk job sites, communicate with field superintendents and trades.
• Pull materials and selections for client presentations.

Qualifications

• 3–5 years of experience in procurement, purchasing, or project coordination within the interior design, architecture, or construction industries (commercial or residential).
• Knowledge in AutoCAD, SketchUp, Chief Architect, Adobe Creative Suite, and other design tools.

• Working knowledge of materials, finishes, and FF&E products.
• Proficient in procurement platforms, project management software (e.g., Buildertrend or similar), and Microsoft Office Suite.
• Strong organizational and time management skills; ability to handle multiple projects simultaneously.
• Excellent communication skills and vendor relationship management.
• Detail-oriented with a keen understanding of timelines and design intent.
• Bachelor’s degree in Interior Design, Construction Management, Supply Chain, or a related field preferred.
