Salary: $47,000 – $57,000 annually, commensurate with experience

Position Overview
The Project Administrator Support provides administrative and Intake assistance to ensure smooth program operations. This role is responsible for managing day-to-day intake functions, including client applications, documentation, and communication, while providing direct support to the Senior Project Administrator, who oversees intake and project administration.
The position is designed as an entry-level developmental role, providing exposure to client intake, project support, and nonprofit program operations.
Primary Responsibilities
- Intake & Client Relations
- Serve as the first point of contact for potential and current clients.
- Receive, review, and process applications; conduct intake calls to verify eligibility and request additional documentation.
- Schedule site visits with staff (Program Manager, Senior Project Administrator, Construction Coordinator, etc.).
- Ensure clients sign all necessary paperwork and agreements at project opening and closing.
- Maintain accurate and up-to-date client records in Salesforce.
- Answer phones, return calls, and respond to client inquiries promptly.
- Project Administrative Support
- Assist the Senior Project Administrator with preparing and maintaining project files, including contracts, permits, and documentation.
- Track intake and project documentation to ensure files are complete and audit ready.
- Provide clerical and logistical support for scheduling, communications, and recordkeeping
- Assist with reporting requirements by compiling intake data and project status updates.
- Team Collaboration
- Work closely with the Senior Project Administrator to ensure smooth handoff of intake cases to project teams.
- Collaborate with Program Managers, construction staff, and community partners as needed.
- Provide administrative support for volunteers, outreach events, and special project
Qualifications
- Familiarity with the local community preferred.
- 1–2 years of experience in administrative support, client services, or intake preferred.
- Strong attention to detail and excellent recordkeeping skills.
- Proficiency in Microsoft Word, Excel, Salesforce (or similar CRM), and general internet use.
- Strong interpersonal and communication skills, with the ability to engage compassionately with clients and community members.
- Ability to manage multiple tasks and meet deadlines with supervision.
- Flexibility to occasionally work evenings or weekends for client events or volunteer projects.
Position Level & Growth Path
The Project Administrator Support role is an entry-level position that provides foundational skills in intake and project administration. With experience and demonstrated performance, this position can advance to Senior Project Administrator and ultimately to Program Manager.
