Overview
The Receptionist/Food Pantry Coordinator plays a vital role in managing the operations of the food pantry and front office, ensuring that it runs efficiently and effectively to meet the needs of the community. This position involves overseeing daily activities, assisting with walk-in clients, and maintaining accurate records. The ideal candidate will possess strong organizational skills and a passion for helping others.
Duties
- Greet clients warmly and professionally, providing information about the food pantry, township assistance, and any other items related to the township. Maintain sign-in ledger.
- Oversee daily operations of the food pantry, including inventory management and distribution to the clients.
- Keep a clean and organized work area, order food from the food bank and drive the van for pickup, sort through produce, maintain the office garden, keep all records related to the food pantry up to date and organized, organize the holiday baskets, coordinated the occasional food drive with other organizations, record cooler/freezer temperatures, etc.
- Maintain accurate records of food donations, distributions, and inventory levels using data entry skills.
- Answer all incoming calls/emails and return all missed calls throughout the work day. Be able to answer questions or transfer/refer to other township employees or other agencies.
- Collaborate with local organizations to secure food donations and resources for the pantry.
- Assist other township employees when need. This can include assisting and knowing township assistance and coordinating with the office manager, accountant and trustee.
- Other office related duties include: keep restrooms stocked, check printer supplies, help maintain flower beds by the office, keep the garage and van clean, monitor van service needs and gas, keep bird feeders filled, take out trash, change air filters when needed, etc.
Experience/Qualifications
Must have a valid Indiana license and operate office vehicle, minimum of high-school diploma or equivalence, SERVE_SAFE certified (can provide training if necessary). Must be able to respond to emergency situations on a 24-hour basis.
- Prior experience in customer service or hospitality as well as previous experience in office management or receptionist is preferred.
- Excellent time management abilities to prioritize tasks effectively.
- Familiarity with phone systems.
- A background in community service or nonprofit work is a plus.
- Strong communication and interpersonal skills. Comfortable with a variety of computer systems. Attention to detail, ability to work well with others.
Physical requirements: ability to sit or stand for extended periods, lift up to 40lbs
Trainings: must be able to attend any Hoosier Hills Food Bank training courses, attend Indiana Township Association Conferences and any other food trainings needed.
