GENERAL DESCRIPTION
Performs professional work assisting with the planning, organization, and execution of special events that enhance community engagement and promote local attractions. Provides on-site support for event operations, assists with setup/takedown, coordinates with vendors and staff, and contributes to event success. In the absence of senior staff, supervises part-time staff involved in event operations. Does related work as required.
ESSENTIAL JOB FUNCTIONS
~ Assists with the planning, organization, and execution of special events, ensuring smooth logistics, setup, and on-site coordination.
~ Provides on-site event support, including assisting with vendor coordination, participant services, and troubleshooting.
~ Assists with Illuminights setup, operations, and takedown to ensure safe and efficient event delivery.
~ Supports event registration, participant data collection, and use of registration software systems.
~ Assists with marketing and promotional efforts by distributing materials and supporting strategies to increase visibility and engagement.
~ Contributes to event evaluation and improvement strategies by gathering feedback and supporting reporting efforts.
~ Assists in monitoring event-related purchases, inventory, and supplies.
~ In absence of more senior staff, supervises part-time event staff and volunteers.
~ Stays informed about trends and best practices in special events and implement new ideas into event offerings.
~ Works a flexible schedule including nights, weekends, and holidays as required by event operations.
~ Works collaboratively with other Parks and Recreation staff to support overall departmental goals and initiatives.
REQUIREMENTS/PREFERENCES
Education:
Required: High School Degree, or equivalent.
Experience:
Required: One (1) year experience in recreation, events, or related field.
Preferred: Three (3) or more years of experience in events, recreation, or related customer service roles.
Certifications/Licenses:
Preferred: Valid Virginia driver’s license with good driving record. Current CPR, First Aid and AED certification or ability to obtain
Knowledge, Skills and Abilities:
General knowledge of event and recreation program support. Ability to assist in planning and coordinating event logistics. Knowledge of customer service practices and ability to provide solutions in a fast-paced environment. Effective verbal and written communication skills with staff, vendors, and guests. Awareness of risk management and safety considerations in event operations. Ability to work both independently and as part of a team. Ability to work outdoors in a wide range of environments.
Supervisory Responsibilities:
Assists with the supervision of part-time staff; may provide direct supervision in absence of senior staff.
Additional Requirements:
Subject to a complete criminal history and Child Protective Services background search with acceptable results. Must be able to perform the job as described in the Physical and Environmental Demands section of this job description. May be subject to DMV driving record review as required by amount of work related driving, specified by support responsibilities.
