Responsibilities:
- Provide comprehensive administrative support to executives, including scheduling meetings, managing calendars, and coordinating travel arrangements.
- Prepare and edit correspondence, reports, and presentations, ensuring accuracy and adherence to hospital standards.
- Serve as a liaison between executives and staff, facilitating communication and flow of information.
- Maintain and organize confidential files and documents, ensuring compliance with privacy regulations and hospital policies.
- Assist in the planning and execution of special projects, events, and meetings as needed.
- Manage office supplies and inventory, ensuring all necessary materials are available for daily operations.
- Conduct research and compile data for reports, presentations, and decision-making processes.
- Handle incoming calls and inquiries, providing exceptional customer service to patients, visitors, and staff.
- Support departmental budget management by tracking expenses and assisting with financial reporting.
- Participate in continuous improvement initiatives to enhance administrative processes and efficiency.
Qualifications:
- Bachelor’s degree in Business Administration, Healthcare Administration, or a related field preferred.
- Minimum of 3 years of experience in an administrative support role, preferably in a healthcare setting.
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with electronic health record (EHR) systems.
- Excellent verbal and written communication skills, with the ability to interact effectively with a diverse range of individuals.
- Strong organizational skills, with the ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
- Detail-oriented with a focus on accuracy and quality of work.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Proactive problem solver with a positive attitude and a commitment to delivering exceptional service.
