Job Description:
This Administrative Programs Officer I position will support the Deputy Director and teams within the unit. DDD is seeking a highly organized and proactive Administrative Program Officer I who will provide crucial support to our staff, ensuring smooth and efficient operations, provide timely communication, and who has a strong attention to detail and accuracy.

Key Responsibilities:
- Support the daily operations of the unit.
- Prepare reports, track data, and assist in program analysis.
- Review policies and other documents to ensure accuracy.
- Coordinate meetings, communications, and scheduling for the Deputy Director.
- Assist with data entry, document preparation, and other administrative tasks.
- Support for internal and external meetings – prepare an agenda, meeting space set-up and clean-up, meeting minutes, follow-up on assignments, etc.
- Collaborate with internal teams and external partners to ensure effective program delivery.
- Provide high quality customer service while answering the Division’s phone line.
Requirements / Qualifications:
Minimum Qualifications: Associate degree in public or business administration, accounting, or any discipline related to the work assigned. One year of experience in administrative, business management or technical support work including collecting and interpreting statistical, financial, program, or administrative data; or interpreting laws, rules, regulations, and processes. Experience may substitute for education on a year-for-year basis.
Preferred Qualifications:
- Bachelor’s degree in public administration, business, social work or human services.
- Experience with program coordination or administrative support in a government or human services setting
- Knowledge of budgeting, procurement, or contract processes
- Strong skills in data analysis, report writing, and project management
Knowledge, Skills, and Abilities:
- Effective decision-making and problem-solving skills
- Ability to maintain confidentiality
- High attention to detail and accuracy
- Excellent communication skills
- Ability to meet time-sensitive deadlines in a fast-paced environment
- Ability to provide training and technical guidance on a variety of issues
- Ability to operate and troubleshoot computer systems and databases
- Must be highly organized and work well under pressure
