Job Description - Bid Clerk
General Description
The Estimating Clerk position is responsible for providing administrative support to leadership, managers, and other staff as required, performing various tasks related to the organization's business operations. This position is responsible for ensuring that all administrative tasks are carried out accurately, with high quality, and within specified timeframes.
Essential Roles and Responsibilities:
- Maintain precise call logs, detailing follow-up actions and outcomes with subcontractors, engineers, and clients. Record this data in CRM Software for tracking and analysis purposes.
- Access the Bid platforms to retrieve architectural, engineering, and construction drawings related to projects.
- Compile all bid documents and supporting materials for entry into the vertical estimating tracker. Ensure completeness by providing any missing information, such as bid bonds.
- Keep Microsoft Outlook calendar current.
- Produce and distribute correspondence as requested: prepares and assembles reports, proposals, and other documents.
- Create and manage all proposal files.
- Utilize online platforms to actively recruit and contact subcontractors for upcoming projects.
- Update and maintain subcontractor information in company system email.
- Perform other duties as assigned.

- Ability to make appropriate recommendations.
- Ability to prioritize and organize, work well under stress, meet deadlines.
- Skilled in interpersonal communication to assist with all levels of staff and clients.
- Knowledge of Microsoft Office products.
- Knowledge of traditional office equipment such as copiers, scanners, shredders, and postage machines.
- Skilled in written and interpersonal communication.
- Ability to perform tasks in a safe and responsible manner.
- Ability to be a self-starter with a strong work ethic, positive attitude, and team player.
- Ability to occasionally travel.
Required Qualification:
- High school diploma or GED is required.
- Minimum of one-year experience in an administrative support position is required.
- Valid driver’s license is required.
