Position Title: Financial & Administrative Coordinator
Overview:
We are seeking a detail-oriented and experienced Financial & Administrative Coordinator to join our team. This hybrid role combines bookkeeping excellence with essential administrative support. The ideal candidate will have a strong grasp of accounting principles, proficiency in accounting software, and the organizational skills to manage day-to-day office functions. Your contribution will help ensure smooth business operations and accurate financial reporting, supporting the company’s continued growth and compliance.
Key Duties & Responsibilities:
Bookkeeping & Financial Responsibilities:
- Manage daily bookkeeping tasks, including accounts payable/receivable.
- Perform journal entries and maintain the general ledger system.
- Conduct monthly bank and balance sheet reconciliations.
- Generate accurate and timely financial reports in line with GAAP standards.
- Support budgeting processes and provide financial insights.
- Utilize accounting software (QuickBooks, Sage, Xero, etc.) for efficient record-keeping.
- Assist with audits by preparing and organizing financial documentation.
- Support payroll processing and maintain payroll records.
Administrative Responsibilities:
- Answer phones, manage emails, and provide general office support.
- Coordinate schedules, meetings, and vendor communications.
- Organize and maintain digital and physical filing systems.
- Manage incoming/outgoing mail and supply inventory.
- Assist with HR-related admin tasks (onboarding paperwork, time tracking, etc.).
- Handle state/city tax filings (e.g., OTP, sales tax) and business compliance documents.
- Liaise with external service providers (accountants, vendors, payroll processors).
Requirements:
- Proven experience in bookkeeping or accounting with administrative duties.
- Proficiency in accounting tools (QuickBooks, Sage, etc.).
- Strong organizational and multitasking abilities.
- Familiarity with office software (Excel, Google Workspace, etc.).
- Excellent communication and interpersonal skills.
- Attention to detail and high level of accuracy.
- Payroll and tax filing experience is a plus.
- Knowledge of financial principles, reconciliations, and GAAP.

Pay: $60,000.00 - $65,000.00 per year
