ADMINISTRATIVE ASSISTANT
- GENERAL DESCRIPTION:
Under general supervision of the Families And Children Together (FACT) Chief Executive Officer, performs, coordinates, and oversees secretarial and administrative-support duties of the Chief Executive Officer and designees.
- REPORTING RELATIONSHIPS:
This position reports directly to the Chief Executive Officer (CEO)
- QUALIFICATIONS: (required at time of offer)
- High school diploma. Associate?s degree is preferred.
- Prior administrative-support experience preferred.
- Excellent written and verbal communication/presentation skills.
- Excellent organizational and interpersonal skills.
- Professional demeanor and ability to communicate effectively with internal and external stakeholders including board members and community partners
- Compassionate and respectful demeanor when working with families who may be experiencing stress, crisis, or challenging situations.
- Able to work a flexible schedule to attend meetings and FACT functions region as requested, both during and outside of normal business hours, as required.
- Experience with Microsoft Office, Google Suite and related applications.
- Comfortable learning and using organizational software such as custom case management systems, CRM/fundraising systems, shared calendars, and/or task management tools.
- Prior experience using standard office equipment.
- Satisfaction of all employment eligibility and FACT hiring requirements.
- RESPONSIBILITIES: (illustrative and not intended as inclusive; specific responsibilities may vary)
- Accurately, professionally, and timely completes administrative duties. supporting the CEO and designees.
- Ensures adequacy of location, materials, equipment, catering, etc. for all meetings convened by the FACT CEO and the FACT team.
- Acts as CEO?s liaison to the Board of Directors and FACT staff.
- Maintains a working knowledge of all FACT programs, services, partners, policies and procedures.
- Works directly with the FACT team to help promote FACT and ensure successful events.
- Assist in coordinating community events, caregiver dinners, pop-up events, and other agency activities; support event logistics, setup, and preparation.
- Be available to assist in the writing, editing and submission of grant proposals when requested.
- Demonstrate an ability to handle confidential information with discretion and professionalism.
- Performs other FACT-related duties as assigned

- Maintains as confidential all matters related to FACT affairs and refrains from internal and external discussions related to any employee, consumer, financial, or administrative issue except as required as part of job performance.
