Your Responsibilities:
- Manage Patient & Therapist Scheduling: Efficiently coordinate patient appointments, reschedules, and cancellations, ensuring smooth operations across various schedules, including holidays and year-end resets.
- Deliver Outstanding Front Desk Support: Be the first point of contact for families, greeting patients, answering phone calls, responding to emails and faxes, and creating a welcoming, professional environment.
- Coordinate Patient Onboarding & Offboarding: Manage new patient intake, verify insurance benefits, and guide families through the onboarding and offboarding process.
- Handle Insurance & Financial Communication: Verify insurance benefits, explain coverage to families, process payments, handle late cancellations, and manage invoicing when necessary.
- Ensure Timely Documentation: Track key clinic metrics, submit required documentation to insurance providers, and ensure seamless communication within the clinic.
- Support Therapists & Internal Operations: Maintain clear communication with therapists regarding schedule changes, facilitating smooth daily clinic operations and ensuring accurate schedules.
- Monitor Data & Compliance: Keep track of patient attendance, authorization statuses, and resolve issues proactively, ensuring continuity of care.
- Foster Positive Patient Engagement: Organize patient recognition programs, including awards and milestone celebrations, to enhance the patient experience.
- Maintain Front Office Logistics: Manage a variety of communications platforms—phone, email, fax, and in-person—to ensure efficient and responsive operations.
Who We’re Looking For:

- Highly organized, capable of managing multiple priorities with a keen attention to detail
- Comfortable discussing financial matters and reinforcing attendance policies with families in a professional and empathetic manner
- Familiar with medical insurance terminology and experienced in verifying eligibility and benefits
Position Details:
- Schedule: Full-time, Monday–Friday, 7:45 AM - 4:30 PM
- Location: Columbia, TN
- Start Date: ASAP
