Overview
We are seeking a highly organized and proactive Office Administrator to join our team. The ideal candidate will possess strong communication skills and a solid background in office management. This role is essential for ensuring the smooth operation of our office environment, providing support to staff, and managing various administrative tasks. The Office Administrator will play a key role in event planning, vendor management, and human resources functions.
Duties
- Oversee daily office operations and ensure efficient workflow
- Manage schedules, including calendar management and appointment setting
- Handle event planning and coordination for company functions
- Supervise administrative staff and provide training & development as needed
- Maintain accurate records through filing and bookkeeping practices
- Manage payroll processes and assist with budgeting activities
- Coordinate vendor relationships and manage procurement processes
- Provide support in human resources tasks, including recruitment and onboarding
- Utilize QuickBooks for financial tracking and reporting
- Answer multi-line phone systems with professionalism and excellent phone etiquette
Experience
- Proven experience in an office or administrative role, with a focus on office management
- Familiarity with bookkeeping practices and payroll systems
- Experience in supervising teams and managing staff performance
- Strong organizational skills with the ability to prioritize tasks effectively
- Proficient in schedule management, calendar coordination, and event planning
- Excellent communication skills, both written and verbal
- Knowledge of medical office management is a plus but not required
- Previous experience with clerical duties such as filing, data entry, and front desk operations
