Job Title: Office Assistant - Optometry Office
Job Summary:
We are seeking a reliable and highly motivated Office Assistant to join our small optometry office. As an Office Assistant, you will play a crucial role in ensuring the smooth operation of our office and providing excellent customer service to our patients. This position offers flexible hours and can be either full-time or part-time, depending on the candidate's availability.
Responsibilities:
- Answer incoming phone calls in a professional and friendly manner, addressing inquiries, scheduling appointments, and providing general information to patients.
- Greet patients as they arrive at the office, ensuring a warm and welcoming environment.
- Schedule appointments, manage the appointment calendar, and send reminders to patients about upcoming visits.
- Assist patients with frame and lens selection, providing guidance and recommendations based on their preferences and visual needs (training will be provided).
- Maintain and update patient records accurately and efficiently using our electronic medical records system.
- Assist with general office tasks, such as filing, organizing paperwork, and managing inventory of office supplies.
- Occasionally assist the optometrist with clinical work, such as pre-testing patients, performing visual acuity tests, or collecting patient histories (training will be provided).
- Collaborate with the optometrist and other staff members to ensure efficient and coordinated patient care.
- Follow office protocols and procedures to maintain confidentiality and ensure compliance with privacy regulations (e.g., HIPAA).
Requirements:
- High school diploma or equivalent; additional education or certification in a related field is a plus.
- Prior experience in a customer service or administrative role is preferred, but we are willing to train the right candidate.
- Strong interpersonal skills with the ability to communicate effectively and professionally with patients and team members.
- Excellent organizational and time management skills to handle multiple tasks and prioritize responsibilities effectively.
- Proficiency in using computers and basic software applications (e.g., Microsoft Office Suite).
- Attention to detail and accuracy in maintaining patient records and completing office tasks.
- Flexibility to work full-time or part-time, with availability for flexible hours as needed.
