This isn’t just a front desk job. It’s a key role in a place where families come to find real answers, real hope, and real healing. The right person for this role is organized, empathetic, and a problem-solver by nature. You’ll be setting the tone for the patient experience from the moment they walk through the door or pick up the phone.
What You’ll Be Doing:
- Welcoming patients with a smile and helping them feel comfortable.
- Managing the schedule for multiple providers (in Practice Better). Our providers are in high demand, so keeping their schedules full is a top priority — this includes filling last-minute gaps with patients from the waitlist.
- Answering phones and responding to messages promptly with compassion and professionalism.
- Verifying billing info, collecting payments, and making sure no visits go unpaid. You’ll help patients understand their payment options and keep things running smoothly behind the scenes.
- Keeping patient records complete and up to date — uploading paperwork, scanning documents, and importing lab work.
- Supporting providers with day-to-day clinic tasks and ensuring smooth patient flow.
- Helping patients navigate our services and policies with kindness and confidence.
- Run performance reports regularly and collaborate with the founder to enhance business operations.
- Optimize systems and procedures to make the business run smoothly, creatively resolving problems that occur naturally in a growing business.
- Manage inventory of supplements and supplies so the shop is always functioning to meet the needs of the patients.
- Take ownership over the appearance and atmosphere of the facility to ensure it is clean, welcoming, and creates a warm environment for healing.
You’ll Thrive in This Role If You:

- Can multitask under pressure — phones ringing, patients checking in and out, providers asking questions — you can handle it all without dropping the ball.
- Pick up new technology quickly and enjoy streamlining systems. (We use several platforms, and you’ll be expected to learn them quickly.)
- Communicate clearly and kindly — both verbally and in writing. You know how to de-escalate tense situations and keep conversations professional, even when things get tricky.
- Notice the details that others miss.
- Are solution-oriented and willing to speak up with ideas to improve systems.
- Understand and believe in holistic medicine. You don’t have to know it all, but you need to be aligned with our approach and able to support patients who are walking this path.
