Schedules and manages tasks for the operations department, including secretarial and clerical support. Gathers information and assists with preparation of various reports and presentations for Management. Maintains various systems and databases for the various departments.
- Schedules short term vacancy Call Outs.
- Coordinates and produces shift schedules.
- Collects and transmits payroll information.
- Coordinates and produces vacation schedules.
- Tracks, schedules, and plans training in the operations department.
- Receives chemicals into SAP system for Accounting.
- Checks accuracy of timesheets for operation employees before being sent to Payroll.
- Maintains vacation database for all operators and operations supervision. Assists payroll with accuracy of vacation balances.
- Manages purchase orders and invoices.
- Places orders for FRC for all Operations personnel.
- Produces catalyst, chemical and additive summaries.
- Produces investigation summaries.
- Produces meeting notes.
- Produces monthly summary reports for the refinery manager.
- Manages the turnaround back log.
- Arranges service calls for phones, radios, music, HVAC, cameras and bicycles for control rooms.
- Assists Unit Superintendents with turnaround activities by typing blind and energy source control lists, blind and energy tags, prepares and distributes turn around manuals.
- Orders and maintains office supplies for Operations department.
- Assists management in maintaining 38 operating procedure manuals by typing updates, supplying control room copies and annual certification requirements.
- Assists management by developing schedules for training and turnarounds.
- Assists management by providing background, history, and analysis for grievances and arbitration hearings.
- Participates in arbitrations by providing data analysis and testimony at hearings.
- Assists during emergencies by coming to the refinery to help secure extra help in operating positions as needed and/or assist in the EOC as needed.
This position is hourly nonexempt status, which means you are eligible for overtime pay.
- High School diploma or GED required.
- 5 years of secretarial or clerical experience required.
- 1 year of college courses in business and computers preferred.
Position level and salary will be commensurate with qualifications and experience.
