Lead Receptionist

$11 - $14 an hour

Responsible for oversight and scheduling for coverage of all reception hours when clinic is open.

Job Duties:

  • Calendar
  • Check in clients when arrive (at times you will need to page therapist)
  • Mark no shows at 15 minutes past appt for OT and 10 minutes past for ST
  • Mark cancellations received (in person, via therapist, phone)
  • Mark RS according to procedure when received (in person, via therapist, phone)
  • Monitor Calendar for appointment notes (consent forms, PU, co-pays, RS, IEP, school notes)
  • Monitor appointment info box during check in for remaining number of appts scheduled ( this will turn red when needs to be updated)
  • Phone
  • Answer incoming calls by 3 rings
  • Screen calls for purpose and redirect to appropriate dept.
  • When client requests to cancel appt, follow RS procedure
  • Assist therapist with making client calls as needed
  • Assist with calling to coordinate for Medicaid transportation
  • Waiting Room
  • Monitor waiting room for appropriate client and parent behavior
  • Approaching parents and informing of clinic policies with support from clinical affairs as needed (smoking, drinking, pets, etc)
  • Straighten chairs, magazines throughout the day to maintain professional appearance.
  • Respond to cleaning or other needs in waiting room (client becomes sick, etc)
  • Alert supervisor if clinical / medical need arises
  • Track people in / out of controlled clinic space ( ex: bathroom)
  • Provide badges and get HIPAA forms signed for students / volunteers as they check in
  • Interpersonal relationships
  • Maintain positive rapport with clients and therapists in all circumstances
  • Encourage compliance in professional interactions (no cursing, etc).
  • Financial
  • Selling merchandise when requested
  • Collect and post co-pays
  • Place collected copay receipts into Cynthia box at end of day
  • Administrative
  • Collect / sign for packages from mail /UPS
  • Place stamps on outgoing mail
  • Update client info in QEMR when new “Client info” form is completed
  • Scanning client documents into QEMR
  • Update client pictures in QEMR
  • Sending faxes for clients / therapists as needed
  • Provide medical supplies and incident reports to therapists when needed
  • Cancellation List
  • Weekly Run Report and follow up with Clients who have not maintained consistent therapy appointments
  • Consent Forms
  • Every PU and Re- EVal clients should have a updated consent form
  • Currently the consent form is being revamped
  • When client come in and tag on the schedule says PU or RE-Eval that should be a indication that parents need to update consent form and any other waiver
  • Other OT4KIDS Emerging Projects
  • Maintaining cleanliness of facility

Job Type: Full-time

Pay: $11.00 - $14.00 per hour
