Summary
Windy City Cannabis is seeking a motivated Accounts Payable professional to join our accounting team. The Accounts Payable Specialist will be responsible for the payables process from start to finish. Our ideal candidate must be a self-starter who is highly organized with great attention to detail.
As a condition of employment, all newly hired employees of Windy City should be prepared to provide proof of vaccination against COVID-19 prior to their first day of work. Accounts Payable Specialist Responsibilities
- Responsible for ensuring that all Accounts Payable have been accurately coded and allocated in a timely manner at the correct entity
- Ensure all invoices are properly approved by the appropriate Supervisor
- Responsible for weekly payment processing, including check runs, online payments, and ACHs
- Review Accounts Payable statements, verify and investigate discrepancies, and follow up with vendors as needed
- Promptly and effectively communicate with Vendors, Supervisors, and Third Parties (including Leaf Trade) regarding A/P related inquiries while meeting compliance requirements
- Update and maintain vendor files in a timely and accurate manner
- Processes all manual and voided checks through Accounts Payable prior to month-end
- Ensure all expenses are allocated to the correct entities
- Collaborate with procurement to validate and account for purchases made with the corporate credit card
- Assist external tax preparer with year-end 1099 process
- Review computer reports, including our product inventory receipt tracker, to identify and trace sources of errors and make necessary corrections, coordinate with inventory and compliance teams as needed
- Accurately track and code vendor credits – both promotional items and credits related to overpayments, ensuring timely application and visibility in the GL
- Assist with month-end closing activities
- Other activities as assigned
Qualifications
- Must be located in IL or IN for some travel to Chicago, IL
- Bachelor's or Associate's degree is required
- Retail inventory experience is required
- Knowledge in Microsoft Dynamics Finance and Operations (F&O) is preferred
- Strong Excel skills and sharp analytical mindset
- 5+ years of experience
- Retail inventory experience
- Multi-company experience is preferred
- Must be able to communicate clearly and effectively
- Eager to improve processes and enhance accuracy
- Strong attention to detail
- Ability to independently manage workload in a highly organized manner
- Must be 21 years of age or older to apply
- Must comply with all legal or company regulations for working in the industry
- Physical requirements include prolonged periods of sitting, standing, walking, speaking, hearing, and using wrist, hands, and fingers for substantial repetitive movements and gross manipulation to operate equipment like computers and phones. Ability to lift or carry up to 20 pounds occasionally.
