Position Overview
We’re looking for a motivated, detail-oriented Administrative Assistant to join our team in Westlake Village. This is an entry-level, onsite role ideal for someone who is organized, eager to learn, and excited to contribute to a growing tech company. You’ll provide general office support and contribute to a variety of administrative and operational tasks.
Key Responsibilities
- Greet visitors and handle incoming calls in a professional, friendly manner
- Manage and distribute incoming/outgoing mail and packages
- Maintain office supplies and place orders as needed
- Assist with scheduling meetings, coordinating calendars, and booking conference rooms
- Prepare documents, reports, and spreadsheets as needed
- Support departments with administrative tasks such as:
- Creating basic spreadsheets
- Preparing meeting materials, agendas, and printouts
- Assisting with presentation creation
- Organizing marketing-related tasks and requests (via work-logs, Salesforce, Jira, or similar tools)
- Assist with marketing prep work such as:
- Gathering supplies for photoshoots
- Prepping props and materials
- Assist with research projects and summarize findings in a clear, organized format
- Help process orders and support product sourcing (researching vendors, pricing, etc.)
- If fluent in Spanish, assist in translating marketing design briefs for our Colombian-based designer
- Help organize team lunches, office events, and internal initiatives
- Ensure the office environment remains clean, stocked, and welcoming
Qualifications
- High school diploma or equivalent (some college preferred)
- Excellent written and verbal communication skills
- Proficient in Microsoft Office or Google Workspace (Docs, Sheets, Slides)
- Strong organizational skills and attention to detail
- Positive, can-do attitude with a willingness to pitch in wherever needed
- Spanish fluency is a plus but not required
- Prior office or customer service experience is helpful but not required

Job Type: Full-time
Pay: $18.00 - $22.00 per hour
