Overview: Selah Life Therapy seeks a compassionate and skilled Part-Time Administrative Assistant to join our team. We specialize in delivering high-quality therapy services to individuals, couples, and families in a supportive and nurturing environment. Essential Functions: The Administrative Assistant will provide administrative support to the practice owner and therapists.
Daily Responsibilities and Duties:
- Answer, respond to, and direct phone calls, emails, and inquiries from clients and community partners
- Greet and check in clients upon arrival, ensuring a warm and welcoming experience
- Schedule and confirm appointments for therapists
- Maintain and update client files and records, ensuring confidentiality and compliance with HIPAA regulations
- Assist with billing and insurance verification tasks as needed
- Process payments and manage client billing inquiries
- Coordinate office supplies and equipment maintenance
- Assist with the preparation and organization of client-related documentation and forms
- Assist with reviewing and updating the employee handbook to ensure policies and procedures reflect current practice standards and regulatory requirements
- Support the team with administrative tasks as needed, including data entry and reporting
- Assist in maintaining office cleanliness and organization
- Contact new referrals, return messages, and refer to and coordinate with other mental health and community providers.
- Participates in monthly staff meetings, other practice meetings, and trainings as needed.
- Adheres to the practice's quality assurance standards.
- Audits staff compliance with professional licensure regulations and verifies adherence to continuing education requirements for licensure renewals.
- Responsible for data reporting and analysis as requested by the Practice Owner, Practice Manager, Clinical Director, and/or Clinical Supervisor.
- Responsible for creating, scheduling, and posting engaging social media content to promote the services, values, and mental health awareness initiatives of the private practice
- Engages in marketing visits and meetings to increase and retain community client referrals.

Education and Licensure Requirements:
- High school diploma or GED recognized by the Texas Education Agency or a regional accrediting agency or higher.
- Possess and demonstrate the ability to utilize sound, ethical judgment regarding complex clinical situations.

Physical Requirements: While performing the duties of this job, the employee may be required to lift up to 25 lbs.
