Summary of Responsibilities
An energetic and highly organized Administrative Assistant who thrives in a team environment and looks for opportunities to introduce efficiencies throughout the company and project-by-project basis. You will play a crucial role in supporting day-to-day operations of Traditions Custom Builders. Your responsibilities will include coordinating administrative tasks, maintaining records, and ensuring smooth communication throughout the organization as well as managing our exciting new office space.
Essential Job Functions
- Support the company Owner/President and Vice President and company needs
- Schedule team and client meetings, appointments, training sessions, and team outings
- Communicating throughout team to ensure compliance with office standards and systems
- Maintain records and transcripts as directed throughout team and client meetings
- Organize emails, estimates, and files throughout the office
- Answer incoming phone calls and respond to emails professionally
- Material and product runaround as needed
- Assist in training new hires on company processes, systems, and procedures
- Social media assistance and coordination
- Positive Attitude, Independent, Trustworthy, Strong Work Ethic
- Assist in other projects or company requirements, as needed
- Support the team by helping prepare and working at all Builder’s Showcases (max 2 per year), assist in other projects or company requirements, and run errands, as needed
Position Requirements
- Clearly, effectively and professionally interact with team members, as well as external resources,including excellent written and verbal communication; daily phone call needs.
- Consistently exhibits a sharp eye for detail; maintains neat work area + highly organized.
- Proficiency in identifying issues throughout the company, solving problems and dealing with them directly. Maintain a positive attitude when dealing with issues as they arise.
- Ability to perform time sensitive tasks concurrently, handle confidential company and client information with discretion and meet deadlines in a fast-paced environment.
Qualifications and Experience
- High School diploma or equivalent; additional certifications or relevant coursework preferred.
- Successful experience in client services and exposure to the construction industry.
- Experience with Microsoft office products or equivalent (Excel, Word, etc.).
- Excellent peer to peer and general communication and organizational skills
- Willingness to continue to learn and grow as company needs change.
- Valid Driver’s License.
Physical Demands
- Intermittent physical effort required to conduct and coordinate office organization and events, as needed.
- Site visits, project walkthroughs, and Builder’s Showcase needs; as required (be mindful of proper foot protection and attire for each instance). Maximum unassisted lift is less than 40 lbs.
- The ability to use a computer (keyboard + monitor) and/or iPad, communicate verbally, both in person and on the telephone, and communicate through written means are vital to your role.
- Traveling to and from appointments and job sites, attending meetings while interacting with wide variety of internal and external resources is required.
