Under general supervision the Administrative Assistant/Receptionist is responsible for the daily and weekly front office activities. Will also be responsible for front office duties and assisting upper management on daily activities.
Duties to include but NOT limited to:
- Operate telephone to answer, screen and forward calls, providing information, and taking messages in a professional manner.
- Receive, record receipts/invoices for facility services.
- Perform administrative support tasks such as proofreading, transcribing handwritten information, and operating calculators or computers to work with documents.
- Greet persons entering establishment, determine nature and purpose of visit, and direct or escort them to specific destinations.
- Maintain security by following procedures.
- File and maintain records; vehicle logs for company vehicle check-out and check-in.
- Transmit information or documents to customers, using computer, mail, or facsimile machine.
- Schedule appointments, maintain and update appointment calendars for conference room/classroom availability.
- Prepare Conference and training rooms for customer visits.
- Collect, sort, distribute and prepare mail, messages, and courier deliveries.
- Process and prepare memos, correspondence, travel vouchers, or other documents.
- Perform duties such as taking care of plants and straightening magazines to maintain lobby or reception area.
- Assist with office inventory control, office supplies for the HR Department.
- Assist management with day to day tasks.
- Assist with setting-up conference rooms for customer meetings.
- Work on document control as needed.
- Uniform orders, changes and inventory.
- Must be able to work some Saturdays and/or Sundays when training classes are going on.
- Any other duties assigned by management.
- Must be a mature adult (required)
- High school diploma/GED required, Associate’s degree or administrative training is preferred
- Previous experience as an Administrative Assistant/Receptionist or in a similar position (preferred)
- Excellent written and verbal communication skills (required)
- Familiarity with standard office equipment such as computers, printers and copier machines (required)
- Excellent computer skills and knowledge of Microsoft Word, Outlook, and PowerPoint (required)
- Self-directed and able to work without supervision (required)
- Energetic and eager to tackle new projects and ideas (preferred)
- Detailed oriented and comfortable working in a fast-paced office (preferred)
- Highly organized with excellent time management skills and the ability to prioritize projects
- Have some Security experience or knowledge of the business (required)
- Proficient in MS Office with Microsoft Word, PowerPoint, and Excel
- Clerical Skills - Accurately types a minimum of 45 wpm
- Maintains current license/records in employee’s files
- Answers phones in a professional manner; taking accurate phone messages
- High Organizational Skills Required!
- 2 or more years as a Administrative Assistant/Receptionist experience in a legal/law enforcement/security environment
- Good math and problem-solving skills

- Must be able to sit for long periods of time performing repetitive movements.
- Required use of hands, reach with hands and arms; climb or balance; squat; stoop, kneel, crouch, or crawl; and talk and hear effectively.
- Must be able to regularly lift and/or move up to 5-10 pounds, frequently lift and/or move up to 15 pounds, and occasionally lift and/or move up to 20 pounds.
- While performing the duties of this job, must be able to multi-task when there are multiple things going on in the lobby area.
