Examples of Duties:
Community Engagement & Outreach
• Assist with organizing, promoting, and executing PHDC events, workshops, and meetings to align with organizational goals.
• Conduct outreach to community members, stakeholders, and partner organizations to encourage participation.
• Collaborate with communications teams to create content for social media, newsletters, and website updates.
• Support the coordination of volunteer efforts and community service projects aimed at improving local neighborhoods and supporting residents.
Event Planning & Management
• Coordinate, and execute events, including but not limited to securing venues, vendors, and managing guest lists.
• Create detailed event timelines, run-of-show documents, and post-event reports.
• Manage event logistics, including decorations, signage, registration
• Serve as a point of contact during events to resolve issues and ensure smooth operations.
• Assist with event breakdown, cleanup, and evaluations for process improvements.
Administrative Project Support
• Maintain accurate databases of community partners and event attendees.
• Draft and manage email correspondence, including mail merges for event invitations and materials.
• Prepare agendas, documentation, and recaps for meetings etc.
• Monitor inventory, purchase supplies, and coordinate vendor deliverables.
• Use project management tools (e.g., HubSpot, ClickUp, monday.com) to manage workflows.
Reporting & Process Improvement
• Collect and analyze data related to community engagement activities to assess effectiveness.
• Generate reports on event performance, community engagement metrics, and outcomes.
• Propose and implement new strategies to enhance engagement processes and outcomes.
Knowledge, Skills & Abilities:
- Strong verbal and written communication skills with the ability to engage diverse audiences.
- Excellent organizational, time management, and multitasking abilities.
- Detail-oriented with the ability to problem-solve and handle unexpected issues.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
- Proficiency with Canva, Mailchimp
- Graphic design experience (Adobe Photoshop/Illustrator) and bilingual communication skills are a plus.
- Ability to work independently as well as collaboratively in a team environment.
- Ability to read, analyze, and interpret information.
- Ability to keep systems organized and work cooperatively with a variety of staff.

Characteristics of Class: Under the general supervision of the Community Engagement Officer, the Community Engagement Coordinator provides administrative and programmatic support for all day-to-day activities for the Philadelphia Housing Development Corporation (PHDC) Community Engagement Department. The Community Engagement Coordinator supports organizational goals by fostering meaningful relationships, assisting with planning and executing events, and providing administrative and project support for engagement initiatives. This role requires strong organizational and time management skills, attention to detail, and a proactive approach to managing multiple responsibilities. Reporting to the Community Engagement Officer, the coordinator will collaborate with internal teams and external stakeholders to increase community awareness and participation in initiatives aimed at fostering community involvement and empowerment including community outreach, event planning, and stakeholder engagement within the space of affordable housing and community development.
MINIMUM QUALIFICATIONS
Training and Experience :
- Bachelor’s degree in Marketing, Communications, Business, Hospitality, or a related field is preferred.
- 3 – 5 years of experience in community engagement, event planning, or administrative support.
- Experience engaging with stakeholders, customers, and community partners.
- Prior experience in affordable housing or nonprofit work is a plus.
- An equivalent combination of training and experience will be considered
Work Environment & Requirements
- Primarily office-based with frequent travel to community events, workshops, and meetings across Philadelphia.
- Evening and weekend hours are required for events and programs.
