Opportunity
New England Caseworks is seeking an Office Administrator for our millwork facility in Woburn, MA. The Office Administrator needs to be self-motivated and highly detailed, placing value on both internal and external customer service. Proactive planning, organization, customer service, and communication are all essential to your role and daily tasks. You will be responsible for the flow of incoming and outgoing information, performing routine clerical tasks, supplies management, sending/receiving correspondence, and organizing and maintaining both physical and electronic files. You will support multiple departments including Sales, Estimating, Engineering, and Project Management as needed to ensure smooth operation of the millwork facility. This is a full-time, onsite, salary position with standard business hours of 7:30-4:00 reporting to the General Manager.
Duties & Responsibilities
- Support Sales and Estimating with daily flow of information and document coordination including ITBs, proposals, estimating drawings, communication, documentation, and kick-off packages
- Maintain and build our contact database
- Download drawings and specifications
- Fill out and submit all prequalification’s that come in
- Assist office with project set up including Quote numbers and Job numbers
- Answer incoming calls for the office, qualify, and direct to the appropriate party
- Receive, open, sort, and distribute mail via USPS, UPS, and FedEx and keep file of all packing slips
- Track incoming deliveries via packing slips
- Support Project Managers with daily flow of information. Assist with introduction letters, AWPs, change orders, document management, communication, coordination, and project schedules
- Update contract status and invoice schedule
- Oversee, manage, and document control of shipping and receiving process, including order entry and acknowledgements
- Attend various meetings as necessary
- Keep inventory of office supplies and keep items appropriately stocked at all times
Qualifications
- 1-3 years of experience in an administrative/office support role for construction industry or related field
- Able to effectively manage information, schedules, and workload
- Dependable
- Driven and strong personal work ethic
- Exposure to millwork facility and operations or subcontractor/contractor a plus
- Experience interacting and communicating with outside customers
- Professional and clear communicator
- Ability to appropriately prioritize tasks and stay organized
- Excellent administrative skills
- Knowledge with MS Office (Word, Excel, Outlook, and PowerPoint)

This is a stationary position involving constant operation of computers and other office machinery. Substantial repetitive motions of the wrists, hands, and/or fingers are required.
