Office Manager – The Fit Pelvis McKinney, TX | Full-Time (40 hours/week) | $30/hour
The Fit Pelvis is a growing pelvic health physical therapy clinic serving women and men across McKinney, Prosper, and Dallas, TX. We take a whole-body, compassionate approach to care—and we’re looking for an organized, detail-driven, and people-focused Office Manager to help us support our mission.
Position Summary:
As our Office Manager, you’ll be the operational backbone of our practice. From managing inventory and marketing to supporting our team and ensuring smooth patient onboarding, you’ll play a key role in keeping everything running efficiently. This position is primarily based in McKinney, with 2–4 workdays per month at our Prosper and Dallas locations.
Key Responsibilities:
Office & Inventory Management
- Maintain and track inventory; reorder and restock as needed
- Update office bulletin boards and ensure spaces are patient-ready
- Communicate with landlords and vendors when needed
Marketing & Outreach
- Manage marketing calendars for Katy and Leslie
- Schedule meetings with referring providers
- Organize and track giveaways, events, and team outreach efforts
- Design flyers, advertise events on social media and other platforms
- Send thank-you cards to referring doctors and gather referral feedback
- Ensure marketing materials are up to date and order replacements
- Assemble and send marketing packets for drop-offs and mailings
Team & Meeting Coordination
- Schedule internal meetings with team members and leadership
- Prepare meeting agendas and document meeting notes
- Track key metrics and identify trends or issues
- Monitor PT evaluation numbers and team performance indicators
Patient Coordination
- Answer new patient inquiries and schedule initial evaluations
- Follow up on leads and reschedule appointments as needed
- Assist with new patient folders and orientation in the office
- Update patient records in HubSpot (or EMR system)
Requirements:
- Prior experience in healthcare administration, marketing coordination, or office management
- Strong organizational and communication skills
- Tech-savvy with experience in scheduling systems, spreadsheets, and social media tools
- Reliable transportation to travel between clinic locations as needed
- Friendly, professional demeanor and a proactive mindset
