We’re a small, mission-driven team that values integrity, precision, and doing work that truly matters. As we continue to grow, we’re looking for a highly organized and resourceful Office Manager to support our operations at our Chicago headquarters.
The Role:
Reporting to the Director of Operations, the Office Manager will oversee administrative, logistical, and operational functions at our Chicago office while technicians are in the field. The ideal candidate is detail-oriented, proactive, and eager to learn new systems and processes. This is a key position on a collaborative and high-performing team.
We’re seeking someone based in the Greater Chicago area (West Town- office is located ½ mile from Western Ave Metra stop)who is open to a hybrid schedule (3 days in-office per week) with the potential to go fully remote. Target salary range: $50,000 – $70,000, based on skills and experience.
What you’ll do:
- Order parts and supplies and manage inventory for upcoming projects
- Prepare and send client invoices using QuickBooks
- Draft client proposals using Microsoft Excel and Word
- Maintain and coordinate calibration schedules for test equipment
- Manage expense reporting, vendor purchases, and mid-level accounting tasks
- Arrange travel accommodations for field technicians (flights, hotels, rental cars)
- Support HR functions including employee scheduling and payroll tracking
- Coordinate timely submission of final reports and documentation from field technicians
- Oversee insurance policies for company vehicles and general operations
- Track and process employee reimbursements, credit card expenses, and expense accounts
- Monitor time tracking systems to ensure accuracy and attendance compliance
- Document employee performance issues, including policy violations and tardiness, using standardized procedures
You'll be a great fit for this role if:
- Hold a bachelor’s degree (or are actively working toward one) in Business Management, Accounting, or a related field — preferred, but not required
- Demonstrated expertise in QuickBooks, including (but not limited to) managing accounts payable/receivable, performing bank reconciliations, and generating accurate financial reports.
- Are proficient in Microsoft Excel, and Microsoft Word
- Have strong organizational skills and can manage multiple tasks effectively
- Communicate professionally and work well with both internal teams and clients
- Are comfortable working independently and adapting to shifting priorities
