What You’ll Do:
As the Office Manager, you will be the backbone of the office — keeping things running efficiently, supporting compliance, and ensuring a professional, welcoming environment for staff and clients alike.
Key Responsibilities:
- Oversee daily front and back-office operations, ensuring smooth workflows across all administrative functions
- Manage office procedures and ensure staff compliance with company policies and quality standards
- Maintain accurate client and program documentation for internal use and audits
- Collaborate with leadership to implement systems that promote accountability and process improvement
- Manage scheduling and communication among team members, clients, and external stakeholders
- Support onboarding and training for new administrative and support staff
- Monitor inventory of office supplies and manage procurement processes
- Produce accurate weekly and monthly reports to track caseloads, productivity, and operational trends
- Respond to operational challenges with thoughtful, proactive solutions
- Maintain a professional, confidential, and empathetic presence when interacting with staff and clients
Who You Are:
- Experienced: At least 2+ years of office management or high-level administrative experience; mental health or medical office experience strongly preferred
- Organized & Process-Oriented: You love systems, consistency, and finding better ways to get things done
- Professional & Empathetic: You balance warmth and empathy with policy enforcement and structure
- Problem-Solver: You stay calm under pressure and don’t just identify problems—you solve them
- Tech-Savvy: Proficient in Microsoft Office Suite, especially Excel and Outlook; PowerPoint is a plus
- Team Player: You’re approachable, collaborative, and know how to keep morale high while ensuring accountability
- Dependable: You show up on time, stay ahead of deadlines, and never let the ball drop
