The Nebraska Department of Health and Human Services is hiring an Office Specialist to join our Child and Family Services Omaha Team!

What you will do as an Office Specialist:
Your role will be vital in supporting Child & Family Services Specialists (CFSS) and Supervisors with administrative and clerical tasks that keep the office — and the fieldwork running smoothly. Every day brings something new, but your key responsibilities will include:
- Data Entry & Digital Filing: Accurately input case information, update records, and scan or copy vital documents.
- File Completion & Organization: Ensure all necessary documentation is properly filed, complete, and accessible for case workers and court proceedings.
- Vital Records Requests: Request birth certificates, social security cards, and other essential identification documents for children and families involved in CFS cases.
- Document Delivery: Safely deliver critical legal documents and case materials to the courthouse and other official offices as needed.
- Support Communications: Serve as a point of contact for document requests, follow-ups, and occasional phone coverage.
Team Coordination: Provide proactive support to CFSS and supervisory staff, helping the team stay ahead of deadlines and organized in a busy, emotionally impactful environment.
Requirements / Qualifications:
Minimum Qualifications: Coursework/training in administrative/office support functions, procedures, and methods including the operation of personal computers and office equipment; data search-engines or areas related to the programs and functions of the employing agency. OR Experience in customer service or public contact; or applying criteria/regulations; and/or performing administrative/office/secretarial support work including use of personal computers and office equipment.
Preferred Qualifications: 1-2 years of Administrative/Office Support. Computer Proficiency - Microsoft Word, Excel, and Outlook. HIPAA Knowledge: Basic principles of HIPAA and Privacy Compliance.
Other: Ability to drive State Vehicles when needed. A valid driver's license is required. Or the ability to provide independent travel.
Knowledge, Skills, and Abilities :
- Knowledge of general office procedures, data entry, and recordkeeping
- Familiarity with confidentiality practices such as HIPAA
- Proficiency in Microsoft Office (Word, Excel, Outlook)
- Strong organizational skills with attention to detail
- Clear and professional communication, both written and verbal
- Ability to manage time, meet deadlines, and work independently
- Comfortable adapting to new systems and changing priorities
- Able to handle sensitive information with care and discretion
- Willingness to drive to local courthouses or government offices as needed
