Purchasing Coordinator Summary:

The Purchasing Coordinator is responsible for handling all receiving of deliveries and storage of all food goods. Additionally, ensuring all deep cleaning, product rotation, and organization of common storage areas is completed daily or weekly depending on the scope of the project. Executing all necessary tasks with the rest of the culinary team throughout their shift. The purchasing coordinator assists with completion of daily receiving logs and ensures all products received are of acceptable quality. The purchasing coordinator can communicate with food vendors and external representatives in a timely and professional manner. Communication with the managers ordering and handling food costs is another essential role for this position.


Essential Functions:

  • Receiving of deliveries and proper storage with attention to labeling and organization.
  • Ability to write professional and clear daily emails.
  • Constant collaboration
  • Strong understanding of product identification and use.
  • Coordination with kitchen and other departments to handle any inter-departmental purchasing project or need.
  • Continual rotation of product following the FIFO system and communication with supervisors regarding any product that needs processing.
  • Recording daily food inventory pars.
  • Completion of receiving logs each day.
  • Ensuring any credits needed from delivery orders are documented and communicated.
  • Placing produce orders correctly and efficiently as needed.
  • Creation and implementation of cleaning schedules and other standard operations procedures to improve the receiving department.
  • Coordinating deep cleaning of walk-in freezer bi-weekly or as needed.
  • Organization, consolidation, and deep cleaning of dry storage areas each week.
  • Organization and consolidation of all fruit and citrus daily.
  • Additional organization of storage areas as directed by AM/PM managers.
  • Maintains regular, consistent and reliable attendance.
  • Respects the Club's customs and traditions and works to preserve Rolling Rock Club as a "Quiet Country English Manor".
  • Other related assignments as necessary.


Qualifications:

Required:

  • A high school diploma or GED.
  • Understanding of proper sanitation and usage of cleaning supplies appropriately.
  • Effective interpersonal skills required in interacting with both internal and external resources.
  • Analytical skills necessary to evaluate cost effectiveness of available purchasing options.
  • Comfortable working in a high paced professional kitchen environment.
  • Strong desire to grow and develop one's craft and skills within the kitchen environment.

Desirable:

  • Associate's degree in culinary arts.
  • Minimum of 1-2 years professional experience cooking.


Skills:

  • Proficiency in ordering, organization, and follow-up communication.
  • Moderate to strong understanding of Microsoft Office Suite, specifically Excel, Word, Publisher, and Outlook.
  • The ability to be self-motivated and take direction as given by management.
  • Excellent time management skills and ability to multi-task and prioritize work, both with a team and independently.
  • Strong communication skills and work ethic.
  • Excellent typing and communication skills.
  • A strong sense of responsibility for cleanliness and organization.
  • Sense of urgency with foresight of how decisions, actions and updates will affect others.
  • Following guidance and direction from senior management, effectively, efficiently, and appropriately.
  • Curiosity to seek and find solutions not just to implement standard responsibilities and directives.
  • The desire to improve the department through guidance and creation/implementation to new procedures for cleaning and sanitation.


Physical Demands:

  • Ability to lift 50 lbs.
  • Ability to work in front of a computer screen for 1-2 hour periods.
  • Ability to stand for long periods of time (8-10 hours consistently).
  • Independent mobility through clubhouse.
  • Hearing and talking sufficient to communicate with others.
  • Specific vision ability sufficient to read and work in a culinary environment.
  • Requires exposure to hot pans, sharp knives, open flames, and temperatures ranging from hot to cold.
  • Availability and understanding that the position often requires hours in excess of a standard workweek (40-50 hours).
