Overview
We are seeking a motivated and detail-oriented Rental Agent to join our dynamic team. The ideal candidate will play a crucial role in managing rental transactions, providing exceptional customer service, and ensuring that our rental inventory is actively shown and leased. This role focuses on handling leasing inquiries, coordinating property showings, and managing lease documentation Monday through Saturday. You’ll thrive in a fast-paced environment that rewards consistency, communication, and execution.
Daily Responsibilities – Rental Agent
- Respond to all leasing inquiries via phone, email, text, or CRM in a timely and professional manner.
- Pre-screen tenant leads based on rental criteria such as budget, desired location, credit, income, and move-in timeline.
- Coordinate showing schedules between qualified leads and available showing agents.
- Confirm appointments and communicate showing details clearly to both renters and agents.
- Manage lease documentation — including drafting, sending, and collecting signed leases using approved brokerage forms and procedures.
- Ensure all lease files are complete and properly uploaded to the CRM or internal document management system.
- Follow up consistently with rental leads to keep them engaged and progressing through the leasing pipeline.
- Update CRM lead notes daily with communication logs, status changes, scheduled tasks, and follow-up actions.
- Provide daily status reports to the Lead Agent, including updates on showings, lead outcomes, and active lease files.
- Host open houses for rental properties to drive tenant interest, increase lead engagement, and showcase available listings.
What You Will Not Be Responsible For:
- You will not be listing or marketing properties. The Lead Agent handles all listings.
- You will not upload listings to MLS or manage syndication platforms. This is handled by the Admin.
- You will not be responsible for landlord relations. All landlord communication is managed by the Lead Agent.
Key Skills & Competencies – Rental Agent
- Client Relationship Building: Strong customer service background with the ability to build trust and rapport quickly with clients.
- Sales-Driven Mindset: Proven ability to meet or exceed leasing goals and conversion targets.
- Inventory Awareness: Experience in inventory tracking, useful for managing available rental units and scheduling showings.
- Bilingual Advantage: Multilingual skills are a plus, enabling better service to a diverse clientele.
- Technical Proficiency: Comfortable using Microsoft Word, Google Workspace, and CRM platforms for documentation and lead management.
- Retail Math Knowledge: Strong math skills for calculating rents, fees, deposits, and commissions.
- Effective Communication: Excellent verbal and written communication skills to support collaboration and client interaction.
