Customer Service Officer

Key Responsibilities

Patient Reception & Front Desk Management

• Greet and attend to patients, visitors, and walk-ins in a warm, professional, and courteous manner
• Ensure patients are attended to promptly and guided through the registration and consultation process smoothly

Appointment & Patient Coordination

• Manage appointment scheduling, confirmations, rescheduling, and cancellations efficiently
• Coordinate patient flow to minimize waiting time and ensure smooth clinic operations
• Follow up with patients on upcoming appointments, treatment plans, and wellness programs when necessary

Administrative & Operational Support

• Register patients accurately and maintain proper documentation of patient records
• Handle data entry and maintain confidentiality of patient information in accordance with clinic policies

Customer Service & Patient Experience

• Respond professionally to patient enquiries via phone calls, WhatsApp, email, and walkins
• Provide clear explanations of clinic services, treatment packages, wellness programs, and promotions
• Address patient concerns and feedback professionally, escalating issues appropriately when necessary

• Build positive relationships with patients to enhance overall patient satisfaction and retention

Requirements

• Minimum 2–3 years of experience in operations or clinic management, preferably in the healthcare industry.
• GCE ‘O’ Level or Diploma in Healthcare or Business Administration, or a related field.
• Excellent communication, problem-solving, and organisational skills.
• Ability to work in a fast-paced healthcare environment.
• Willingness to support neighbouring clinics through cross-deployment when required.
• Able to work shifts, including weekends and evenings when required.
