This role is responsible for managing front desk operations, providing administrative support to various departments, and ensuring a welcoming environment for visitors and staff. In addition, they assist the HR department by preparing and managing communication and helping with the applicant process. This position will be trained as a backup for accounts payable, and complete other duties as requested. The Office Assistant needs to demonstrate a solid work ethic through diligent effort, availability, accuracy, good decision-making, maintain confidentiality, and provide a positive first impression of the company including dressing appropriately for the position.
Key Responsibilities:
- Greet and direct visitors in a courteous and professional manner.
- Handle all incoming and outgoing mail, packages, and deliveries.
- Maintain office supply inventory.
- Maintain and update phone extension list.
- Update mailboxes, In/Out board, and interactive lobby TV
- Maintain the reception area and conference rooms to ensure cleanliness and organization.
- Schedule meetings, appointments, and conference room bookings.
- Assist with data entry, filing, and document preparation.
- Support HR, and other departments with administrative tasks as needed.
- Coordinate community involvement.
- Create shift calendars and Lockout/Tagout tags
- Send birthday cards, service anniversary cards/certificates, Christmas cards, etc.
- Manage and organize service anniversary awards and celebration dinners.
- Maintain a supply of new hire folders and orientation packets.
- Order and maintain offices supply and inventory.
- Back-up for Accounts Payable
- Perform other duties as assigned to support office operations.
Qualifications:
- High school diploma or equivalent
- Associate degree in business or related fields is a plus.
- Previous office experience working on computers required.
- Previous accounts payable or experience is preferred.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Power Point.
- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities.
- Be able to Lift around 20 to 25 pounds occasionally.
