Job Summary The J. Willard Marriott Library is looking for energetic applicants for an Events & Scheduling Assistant. Potential candidates would be those interested in working on a team in giving excellent customer service on scheduling needs, as well as for needs with events in the library to ensure their success for all involved. We are looking for hardworking individuals who take initiative to accomplish tasks with a great attitude to apply.
For the Library to be able to appropriately monitor hours worked, part-time employees are generally asked to restrict their work with the University of Utah to Library employment only, unless an exception exists.

Responsibilities Events
  • Setup/take down tables and chairs in the Gould Auditorium for events
  • Setup/take down tables in entrances when needed
  • Setup/take down of events in other locations throughout the library when needed
  • Assist in coordinating with AV, custodial, and facilities departments to maintain needs in event spaces
  • Assist with displaying event signage
  • Assist with event catering and food service
  • Perform regular cleaning and maintenance of furniture/equipment (e.g. tables, chairs, etc.)

  • Respond to room requests, make reservations in the scheduler and send confirmation emails
  • Interpret and enforce library and University policies when scheduling requests
  • Communicates with library patrons and students regarding logistics and event changes
  • Confirm reservations made in the library match the Registrar’s Office reservations and records
  • Audit schedules to maximize room usage

Other tasks as needed

Minimum Qualifications Must be a current University of Utah student enrolled 6 undergraduate credit hours or 5 graduate credit hours during the fall and spring semesters.
  • Strong written communication skills
  • Experience with scheduling and event setup
  • Must be able to lift 50lbs and setup conference furniture including tables, chairs and other equipment
