Full Job Description

We are looking for a sharp North America-based Remote Executive Assistant to join our growing marketing company. We’re looking for a detail-oriented team player with strong organization and communication skills to help us make sure our business runs smoothly, and to improve the effectiveness of our team and marketing efforts.

This is a virtual position working with our distributed team. The time investment will be about 20+ hours per week and it’s perfect for a parent who wants a flexible job during school hours. You can work from your own home, but you must have a distraction-free workspace. The hours can be flexible, but you must be reliable, and available during Central/Mountain Standard working hours.


Managing Our Company Playbook: You’ll create/update/manage systems and procedures in our playbook (which is in Google Docs)

Administrative tasks: You’ll Manage daily, weekly, and monthly recurring administrative tasks:

  • Updating Sales Spreadsheets
  • Adding contacts to our CRM
  • Taking notes during staff meetings and creating tasks from those notes
  • Coordinating our social media
  • Help with client billing within Square
  • Create and manage key business reports
  • Creating and updating SOPs for staff to follow
  • Email Support – You will draft and send emails to clients at the direction of the team
  • Project Coordination: You’ll take ideas/projects and turn them into a list of todo’s with a timeline and task list to help move internal projects and client projects forward
  • Client Support: You’ll help facilitate new client onboarding meetings and follow up with clients on needed assets

A lot of the tasks you’ll be responsible for have written documentation already. So as long as you can follow some simple instructions you’ll pick things up pretty quickly. Additionally, you’ll help create documentation where it doesn’t already exist. You will take direction from audio and video, as well as email.


  • Work experience as an Executive Assistant, Personal Assistant or similar role
  • Excellent MS Office knowledge
  • Outstanding organizational and time management skills
  • Familiarity with office applications (e.g. e-calendars, Google workspace, Zoom)
  • Excellent verbal and written communications skills
  • Discretion and confidentiality
  • High School degree
  • PA diploma or certification is a plus

Pay: From $20.00 per hour
