Duties
- Greet and welcome guests in a friendly and professional manner.
- Manage multi-line phone systems, directing calls appropriately and taking messages as needed.
- Perform data entry tasks, maintaining accurate records of client interactions and appointments.
- Handle clerical duties including filing, proofreading documents, and managing office correspondence.
- Utilize QuickBooks for basic bookkeeping tasks and financial record keeping.
- Assist with calendar management, scheduling appointments, and coordinating meetings.
- Provide customer support by addressing inquiries and resolving issues promptly.
- Maintain a clean and organized front desk area to create a welcoming atmosphere.
- Collaborate with other staff members to ensure smooth office operations.
Qualifications
- Previous experience in a front desk or administrative role is preferred.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
- Strong computer skills with the ability to learn new software quickly.
- Excellent phone etiquette and customer service skills.
- Bilingual abilities are a plus, enhancing communication with diverse clientele.
- Strong organizational skills with effective time management capabilities.
- Experience in office management or clerical work is beneficial.
- Familiarity with dental or medical receptionist duties is an advantage but not required.
- Typing proficiency and attention to detail are essential for accurate data entry and documentation.
- Personal assistant experience is valued for managing various administrative tasks efficiently.
