Job Summary
We are seeking a highly organized and professional Front Desk Receptionist to join our team. The ideal candidate will serve as the first point of contact for our clients and visitors, providing exceptional customer service while managing front desk operations. This role requires strong administrative skills, attention to detail, and the ability to multitask in a fast-paced environment.
Responsibilities
- Greet and assist clients and visitors in a friendly and professional manner.
- Manage multi-line phone systems, directing calls to appropriate personnel.
- Perform data entry, filing, and clerical tasks to maintain organized office records.
- Schedule appointments and manage calendars for staff members.
- Handle customer inquiries and provide support through effective communication.
- Utilize QuickBooks for basic bookkeeping tasks as needed.
- Maintain office supplies inventory and order supplies when necessary.
- Ensure the front desk area is clean, organized, and welcoming at all times.
- Proofread documents for accuracy before distribution or filing.
- Assist with administrative tasks as assigned by management.
Skills
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace.
- Strong typing skills with attention to detail for data entry tasks.
- Excellent organizational skills with the ability to manage multiple tasks effectively.
- Bilingual abilities are a plus for enhanced customer communication.
- Prior experience in front desk operations or office management is preferred.
- Familiarity with multi-line phone systems and phone etiquette.
- Strong customer service skills with a focus on client satisfaction.
- Experience in clerical or administrative roles is advantageous.
- Knowledge of dental or medical receptionist duties is beneficial but not required.
- Ability to manage time effectively and prioritize tasks in a busy environment.
