We’re looking for a Front Desk Coordinator who can be the warm, organized, and intuitive presence that keeps our clinic running smoothly and makes every patient feel seen, heard, and cared for.
We are a cash-pay integrative physical therapy private practice seeking a dedicated and professional Front Desk to join our team. The ideal candidate will serve as the first point of contact for our clients and visitors, providing exceptional customer service and administrative support. This role requires strong organizational skills, attention to detail, and the ability to manage multiple tasks efficiently in a warm and welcoming environment.
This is a great opportunity for a stay-at-home mom wanting to make extra money. Great schedule to after dropping off the kids and then picking them up later.
Responsibilities
- Greet and assist patients and clients in a friendly and professional manner.
- Manage incoming calls, emails, and inquiries with excellent phone etiquette.
- Schedule appointments and maintain an organized calendar (inward facing Google Calendar and outward facing JaneApp EMR) for the office.
- Perform administrative tasks including filing, data entry, and maintaining client records.
- Ensure the front desk area is tidy and welcoming at all times.
- Assist with billing inquiries and process payments as needed (credit card, debit card, HSA, FSA, HRA, cash, Zelle, Venmo, check, etc.)
- Collaborate with other team members to ensure smooth operations within the office.
- Provide support to healthcare providers when necessary.
Skills
- Strong administrative skills with a focus on organization and attention to detail.
- Proficient computer literacy, including experience with office software applications.
- Excellent phone etiquette to handle client communications effectively.
- Experience in a professional healthcare receptionist is preferred but not required.
- Ability to file documents accurately and maintain organized records.
- Bilingual skills are a plus, enhancing communication with diverse clientele.
- Strong interpersonal skills to foster positive relationships with patients, clients, and colleagues.
Ideal Background
- Experience in a wellness, therapy, acupuncture, or chiropractic office is a plus
- Familiarity with EMRs like Jane, PTEverywhere, SimplePractice, or Mindbody
- Excellent phone manners and basic tech skills in the iOS ecosystem
- Bonus: experience with customer service, sales, or front-of-house hospitality
